1. Collecting and using personal data of customers, suppliers and other business contacts.
As a supplier of intelligent lighting solutions for use in spaces between the front door and the street, we only do business with other companies (B2B). We would like to draw your attention to the fact that this personal data is collected and used insofar as this is strictly necessary to enable effective commercial dealings with our suppliers, customers and other business contacts. This personal data includes: the name, first names, job title, business address and/or address for delivery, business e-mail address and business telephone numbers, as these have been forwarded to us by you. Other personal data which is not directly needed for effective commercial dealings between your company and ours, will not be included in our business administration. Even if you are a potential business contact of ours, we only use the address data referred to above insofar as this had been publically communicated by yourselves or via LinkedIn.
You are not obliged to provide us with your personal data. However, if you fail to provide us with insufficient or no personal data at all, then it is likely we cannot carry out the specified work in the context of effective business dealings.
2. Forwarding of data to third parties
In executing a possible agreement with you, we may have to pass on your personal data to parties who supply us with parts, materials and products or perform work as part of the assignment. In addition, we make use of an external server for the storage of (parts of) our sales and purchasing administration of which your personal data forms part. For this reason your personal data will also be made available to the provider of the server. Furthermore, we also make use of Microsoft Office and related facilities for the storage of e-mails and other files. Because we also make use of a newsletter mail service, your personal data is also forwarded to the provider of this service.
3. Retention period of personal data
We keep business-related personal data in an ERP system which is periodically maintained and cleaned. To this end, we comply with the legally required retention period of 7 years for tax purposes.
4. Your rights
You have the right to request inspection or your own personal data. You can ask us to supplement your business-related personal data or to change any inaccuracies. You have the right to have your personal data deleted or for the use of your personal data to be restricted. You can send us an objection to how we collect and use your personal data or lodge a complaint with the competent authority (Autoriteit Persoonsgegevens). Finally, you can request us to send you your personal data or have this data transferred to a third party. To exercise these rights you should contact our QHSE officer.
